What is Account Payable ?

Accounts Payable refers to the amount of money a business owes to its suppliers for goods or services purchased on credit. It represents the company’s short-term financial obligations that must be paid within a specific period. Managing accounts payable helps businesses track supplier payments, maintain accurate financial records, and ensure the timely settlement of outstanding bills.

This module mainly includes the following sections:

1. Transactions

This section is used to record supplier-related financial activities. It includes:

1. Payment Voucher
A Payment Voucher is used to record payments made to suppliers for purchases or outstanding invoices. It includes details such as the supplier, payment method, date, and amount, ensuring that supplier payments are properly recorded.

2. Supplier Debit Note
A Supplier Debit Note is created when the amount payable to a supplier needs to be reduced, such as in cases of purchase returns, damaged goods, or pricing corrections. It updates the supplier’s account balance accordingly.

3. Supplier Credit Note
A Supplier Credit Note is used when the amount payable to the supplier increases due to additional charges or adjustments. This entry ensures that the supplier’s account records remain accurate.

These transactions help manage supplier payments and financial adjustments.

2. Posting

The Posting section is used to finalize and post accounts payable transactions into the accounting system. It ensures that all supplier payments and adjustments are properly reflected in the financial records.

3. Reports

The Reports section provides detailed and summary reports related to supplier transactions. These reports help users analyze supplier payments, outstanding balances, and the overall accounts payable performance.
